EVENTS GLOSSARY


Below is a glossary you may find useful when considering hosting an event:


8Hr package (also known as Day Delegate) typically to include:
Hire of 1 x Main meeting room from 9-5.30pm,
Mid morning Coffee break
Lunch
Mid afternoon Coffee break
Basic AV Equipment (OHP, Flipchart and Screen);

24Hr package – Describes an event when delegates stay overnight, typically to include:
Hire of 1 x Main meeting room from 9-5.30pm,
Mid morning Coffee break
Lunch
Mid afternoon Coffee break
Basic AV Equipment (OHP, Flipchart and Screen);
Evening dinner
Overnight accommodation and Breakfast

Package rates offer better value for money than if each item was individually costed/ priced.


Seating style – this can take various different forms and has an impact on function space availability as different styles dictate different capacity levels.

Please see below a number of popular layouts.

Theatre – allows maximum capacity
Classroom – delegates have the benefit of tables to use
Cabaret – typically 8 to a table
Herringbone – winged effect
Boardroom – allows for least number of delegates


Front Projection (F/P) – is when a presentation is projected towards the front of the room, using standard equipment such as an OHP or Data Projector. This occupies minimal space allowing for maximum delegate capacity.

Back projection (B/P) – is when a presentation is projected from behind the screen. This allows for more elaborate set design, but may require technical support and specialist equipment. However, this style often occupies a larger percentage of the room, thereby reducing delegate capacity.

Room Hire – in addition to packaged rates, Room Hire is an alternative. Venues quote individual rates, based on event criteria.


Syndicate or Breakout rooms – typically used for smaller breakaway group activities. Generally quoted on an individual basis and can be used in conjunction with either a packaged rate or Room Hire only basis.


Minimum and Maximum numbers – All conference and banqueting rooms will have capacities governed by their physical dimensions. Venues stipulate what the capacities are for any event held in that room.
